Event FAQs

How can I check available dates and schedule a site visit?  
Start by submitting an Event Request. An event planner will contact you to discuss availability or an alternate date, event space preference, and scheduling a visit. If you are planning long-distance, we can arrange a virtual tour.

 

What are your rental rates?  
Rates vary depending on the venue selected, event duration, guest count, setup, audiovisual needs, and additional services provided. You will receive a customized estimate specific to your event details.

 

How do I book event space?  
A signed facility agreement with a non-refundable deposit payment of 50% of the contracted total, books the event space. The remaining balance is due seven (7) calendar days before your event. 

 

What forms of payment do you accept?  
We accept cash, checks, Visa, MasterCard, Discover, and American Express.

 

Is in-house catering available
NMSU Catering Services is our in-house campus caterer. The Player’s Grill Restaurant also caters for events scheduled at the golf course clubhouse. Both caterers offer a variety of menu selections to fit your tastes, budgets, and dietary requests. 

 

Is alcohol service available?  
A variety of alcohol service is available and provided by NMSU’s licensed establishments and caterers. Alcohol service requires NMSU Security, scheduled by Conference Services, at an additional charge. You may select any professional provider for other services, including your celebration/ wedding cake, photographer, entertainment, etc.

 

Do you provide tents?  
No. However, a local company, Enchanted Occasionsoffers a wide selection of event rentals including, tents, wedding arches, and decorations.  

 

Do you have any restrictions on decorating?
Please download a full Decorating Policy to review and share with your decorator and other vendors.

Here are some of the most asked about concerns:

  • Only use painter’s tape (blue) or removable poster mounts (Magic Mounts or 3M brands).
  • Do not use other types of tape, nails, tacks, glitter, confetti, candles, or special effects equipment such as fog machines, etc.
  • Remove decorations immediately following the event.  

  

Can I schedule a rehearsal? 
Contact your event planner to schedule rehearsal within two (2) weeks of your event. 

 

What is the bad-weather backup plan for outdoor events?
When expecting bad weather, consider renting a tent or one of our indoor venues for backup.   

 

When can vendors setup?
Vendors may access the venue and begin setting up according to the agreed-upon schedule specified in your facility agreement event summary.

 

Do you offer on-site assistance? 
An event assistant will be on-site before guests arrive and until the lead catering manager arrives to ensure everything is running smoothly.  

 

What happens if I need to cancel my event?  
Conference Services offers the option of applying your deposit to schedule a future event within one (1) year of the original date at any of our venues. Otherwise, the deposit is non-refundable.
